Our Process

Phase 1: Discovery & Vision (Free)

 We’ll start with a complimentary 30-minute call to get to know your goals, audience, and retreat vision. During this call, we’ll discuss your organization’s goals, ideal guest profile, and what kind of experience you’d love to create.

Goal: This phase is designed to help you start thinking through the big-picture vision: the tone, destination, length, and level of involvement you’d like to have in planning. 

​

Next Steps: Following the call, you’ll receive a short Retreat Planning Questionnaire to guide your next phase and capture more details about your preferences, priorities, and desired outcomes for the retreat. â€‹â€‹

Phase 2: Complimentary Planning Session

Goal: In a 60-90 minute meeting, our goal is to clarify your retreat framework and begin shaping the experience. 

Steps: 

  1. Retreat Planning Session  
    • Discuss retreat goals, themes, and target audience

    • Explore preferred destination(s), time of year, and ideal retreat length 

    • Explore group size, and travel dates 

    • Discuss accommodation preferences (i.e. shared home vs. Hotel, chef vs. Catered meals, etc.) 

    • Identify desired outcomes: rest, connection, exploration, etc. 

    • Discuss pricing range for participants 

    • Discuss on-site role of Slow Travel Co. Host vs Organization Host 

  2. Planning Session Recap

    • Slow Travel Co. To deliver a recap of the planning session for alignment to move forward with the design process.

 Phase 3: Retreat Design & Approval 

Goal: Translate vision into a clear retreat proposal for review & approvals 

Steps: 

  1. Custom Retreat Proposal Creation. Slow Travel Co. Will develop two retreat proposals, including but not limited to the following. This can be reviewed via phone or email.

    • Location details and lodging options 

    • Sample itinerary 

    • Proposed inclusions (meals, activities, transportation, etc) 

    • Price estimates per guest 

    • Optional add-ons or enhancements 

  2. Proposal Feedback 

    • Includes one round of revisions​

Phase 4: Deposit & Reservations 

Goal: Secure the retreat and begin detailed coordination. 

Steps: 

  1. Deposit & Contract

    • 40% deposit due to secure property, chefs, and activity partners

    • Payment schedule and cancellation policy outlined in contract

  2. Booking and Logistics Management (by Slow Travel Co.)

    • Reservations of accommodations and vendors

    • Confirmation of transportation and meal plans

    • Creation of a detailed itinerary and retreat guide

  3. Marketing support (if applicable)

    • Co-branded materials for promotion

    • Retreat registration page and payment collection​​​​

Phase 5: Pre-Retreat Coordination 

Goal: Prepare both hosts and guests for a seamless experience 

Steps: 

  1. Participant Communication
    • Upon registration, consistent email communication about next steps and gathering information such as emergency contacts and food restrictions or allergies. 
  2. ​Pre-Departure Packet

    • Includes what to pack, travel details, and retreat expectations 

    • Shared 4-6 weeks before the retreat 

  3. ​Group Communication Setup

    • WhatsApp group or similar for introductions, travel tips, and updates (if desired) 

  4. ​Final Review Call (1-2 weeks before departure)

    • Confirm all logistics, transfers, and special requests

Phase 6: Retreat Execution 

Goal: Deliver an unforgettable, seamless experience

Steps: 

  1. Arrival Day coordination

    • Guests greeted and settled at the property 

    • Welcome dinner and introductions 

  2. Retreat Management

    • Management of logistics and ensures flow of the itinerary 

    • Support for workshops, meals, and excursions as needed 

  3. Departure & Feedback Collection

    • Goodbye breakfast 

    • Post-retreat feedback form sent within 48 hours â€‹

Phase 7: Post-Retreat Wrap-Up

Goal: Reflect and debrief the retreat.  

Steps:

  1. Follow-up Email(within 2 weeks)

    • Review guest feedback and highlight successes

    • Discuss future opportunities or recurring partnerships

  2. Final Invoice & Expense Reconciliation

    • If applicable, any remaining balances or adjustments processed
